We are excited to have you back on campus and are looking forward to another great year ahead! We have some announcements for you and updates to how we’ll be sharing information.

Each month, via GobblerConnect, we will be sending you a Student Organization Leaders Newsletter. This monthly newsletter will have loads of important information in it. Please be sure to read the newsletter in its entirety. Consider this your first issue!

Student Budget Board (SBB) Funding Workshops

  • If you are interested in requesting funds from SBB this year, a member of your organization is required to attend a Funding Workshop.
  • It is strongly encouraged that your Treasurer, or officer who manages money, be the one to attend.
  • It is required that you attend a meeting prior to applying for funds.
  • Applications for funding this year will be done on GobblerConnect.
  • A list of Workshops can be found here (http://www.campuslife.vt.edu/student_organization_information/budget_board/budget_board.html) under Registered Student Organizations.
  • Please note that workshops are only offered this year through the beginning of October. Be sure to get to one early.
  • If you have any questions, please reach out to SBB at budgetboard@vt.edu.

Student Organization Support from SECL

  • In Student Engagement and Campus Life (SECL) we are here to help support you as organizations.
  • We have multiple staff members that are willing to help your organization create, problem solve, and continue to do stellar work.
  • This year we have a new Graduate Assistant for Student Organization Leadership and Development. Her name is Heather Corley!
    • Heather’s office is in the Engagement Suite in Squires Student Center (Room 325).
    • As listed below, Heather will have open office hours. Please feel free to stop by and meet her!
  • Along with Heather, Tracy Price (Marketing Manager), Gina Tamburro (Associate Director), and Heather Wagoner (Director) are here to help as well!
    • Tracy works with GobblerConnect and various marketing efforts for student organizations.
    • Gina and Heather are able to assist with general organization questions, connect you with resources, and help with various campus processes.

Licensing Restrictions for Student Organizations

  • There are licensing restrictions for RSOs, UCSOs, and USLPs that include but not limited to using the Virginia Tech name, logos, VT, and Hokie.

Happy October Leaders!

Here are some important upcoming deadlines, opportunities, and updates for you. This email is being sent to Presidents and Treasurers of organizations. Please be sure to forward this to other leaders and members within your organization.

  • Upcoming Budget Board Deadlines
    • If your organization is looking to receive funding for events or payment dates December 1, 2016 through February 1, 2017, your request must be turned in by November 4th and at least 30 calendar days in advance.
    • Also, if your organization has an event in the beginning half of February, SBB strongly encourages you to turn in your request by the November 4th deadline as well. This is not required but helps the Board hear requests and help your organization know of your award earlier.
    • The Board’s last meeting for this semester is December 5th and they will not meet again until Spring Semester.
  • Additional Funding Workshop Dates
    • Missed out on Funding Workshops earlier in the semester? A few more are being offered. Note: these are the last ones being offered this semester.
    • Dates for the Funding Workshops:
      • November 1st at 4:00 pm, Squires Room 300
      • November 9th at 1:00 pm, Squires, Brush Mountain A
      • November 15 at 3:30 pm, Squires, Room 300
    • In order to be eligible for funding:
      • Your organization was re-registered by Sept 16
      • Someone from your organization attend a funding workshop PRIOR to applying for funds.
  • Student Leadership Opportunity
    • Student Engagement and Campus Life (SECL) invites our student organization leaders to join in a roundtable discussion on November 2nd at 4:30 in Squires, Brush Mountain B.
    • This is an open forum for organizations to connect, share challenges, and find support resources. 
    • Any student organization leaders of registered student organizations (RSO) are welcome to attend.
    • Your feedback will assist SECL develop future programming to better support our student organizations!
  • Leadership Conference/Colloquium Application
    • Interested in growing your leadership competencies and igniting change that enhances the lives and wellbeing of others? As student leaders, apply for the ACC Student Leadership Colloquium through the Leadership Education Collaboration (LEC).

We hope each of you had a great Thanksgiving Break and are getting well prepared for finals!

Here are some important upcoming deadlines, opportunities, and updates for you*.

  1. Leadership Workshops
    • During Spring semester we will be offering various Leadership Workshops to enhance and celebrate leadership skills.
    • Be on the lookout when we come back from Winter Break. Topics will include: Strengths, Resume Building, Leadership Transition, and Conflict Resolution.
  2. RSO Roundtables Cancelled
    • Previously scheduled roundtables are now cancelled.
    • The RSO Roundtables were scheduled for January 18th, February 1st, March 1st, April 5th in Brush Mountain B, all from 4:30- 6:00 pm
  3. Social Media Promotions
    • Do you need help spreading the word about your student organization? Want to tell students about the latest events, activities, or fundraisers that your organization is hosting? Or, are you taking applications for new members and want students to know they can apply?
    • Send us an email at gobblerconnect@vt.edu and Student Engagement and Campus Life will share your events and organization information.
  4. SBB Policy Updates
    • You can find the most updated version of Student Budget Board Policies and Procedures located here: http://campuslife.vt.edu/content/dam/campuslife_vt_edu/assets/docs/SBBPolicy.pdf
    • Two changes have been made:
      • New organizations are eligible to apply for funds, once they are officially registered with Student Engagement & Campus Life (SECL) (see page 7 for official text).
      • When filing a reimbursement, if you paid with cash, check and/or credit/debit card, the original detailed receipt is all that is needed. You no longer need to submit a copy of your bank statement (see page 12 for official text).

FINAL Student Budget Board Workshops for the 2016-2017 Academic Year

  • SBB will hosting 3 final Funding Workshops
  • These workshops are required for any organizations wanting to apply for SBB funds.
  • The dates and times are below:
    • Wednesday, January 25th at 3:00 pm in Squires, 342
    • Monday, January 30th at 1:00 pm in Squires, 219
    • Wednesday, February 1st at 5:00 pm in Squires 219

Student Leadership: Strengths Workshop

  • All Student Leaders are encouraged and invited to join us for a Strengths Workshop
  • This workshop will be interactive and teach student leaders how to understand strengths and encourage shared leadership approaches in organizations.
  •  The workshop will take place on February 8th @ 7pm in Squires, Room 236

  • Now accepting nominations for University Student Leadership Awards (USLA)!
    • The USLAs recognize individuals and organizations that have made significant contributions to the Virginia Tech campus and community. This is an annual tradition that we are excited to celebrate once again.
      • Award descriptions can be found here.
    • Please think about organizations and individuals you know and consider applying today!
    • Deadline for applications is March 3, 2017 at 5:00pm. The USLAs will be held on Wednesday, April 26th.
  •  Organization Registration Workshops
    •  We are excited to announce that student organization registration for academic year 2017-2018 will open Monday, March 13.
    •  Attendance is REQUIRED from at least 1 officer serving for the 2017-2018 academic year (next year).
    •  Registration will open on March 13 and will close on Friday, September 15, 2017.
      •  If your organization is NOT registered by Friday, September 15, you will have to wait until the following academic year to register. 
    •  Required Registration Workshop 
      •  Someone who will serve in a leadership role for academic year 2017-2018 MUST attend the workshop and MUST be the one to register the organization.
        •  As current leaders- please be sure to pass this along to next year’s leadership once you have elections.

    • The workshop will be held, Monday, March 13th from 5-6pm in the Smith Career Center. We hope to see you there!
  • Officer Transition Workshop
    • It’s that time of year again, where elections are on your radar, and transitions in leadership are beginning to happen.
    • Outgoing student organization officers are invited to our Officer Transitions Workshop.
      • This workshop will help current leaders learn how to transition leadership positions successfully and seamlessly, help your organization continue to function well during transition, and help new leaders feel empowered.
    • The workshop will be held on March 22nd 5-6pm in Brush Mountain B, Squires.
  •  Notary Services Available
    •  Student Engagement and Campus Life is excited to now offer notary services to our campus community!  
    • Our staff member Erica Milgrim is a certified notary and can help students and student organizations with any notary needs. 
    • For those who may need this service, please encourage them to email Erica at SECLnotary@vt.edu to make an appointment.

      • This workshop will help incoming leaders learn how to transition into their new leadership positions successfully and seamlessly, understand what questions need to be asked, and help outline some of the first steps new leaders need to take.
      • The workshop will be held on April 5th from 5-6pm in Brush Mountain B, Squires.
